Academic Program Administrator (Program/Project Administrator)
Position Description
This position works directly with academic content experts and college and university administrators for the development and management of programs offered through K-State Global Campus. Utilizing entrepreneurial thinking and market-based research, this position assists with the development of programs which meet workforce and student needs and contribute to enrollment growth. The incumbent must be knowledgeable of university structure, processes, policies and resources and be able to navigate across the spectrum for program development and management.
This position works collaboratively within Global Campus and with university and external constituents and reports to the K-State Global Campus co-director for program development and management.
Program Management/Maintenance – 50%
- Provide ongoing monitoring and management of programs and courses, ensuring programs are meeting student and market needs.
- Edit program and course description content and communicate changes to appropriate unit for updates.
- Work with colleges to ensure courses are offered per program needs.
- Serve as campus coordinator for online courses which are part of consortiums such as GPIDEA.
- Work with course administrators for course entry, approvals and reporting.
- Consult with marketing unit staff as needed to discuss marketing needs and provide program information. Prepare reports and surveys related to assigned colleges and programs with the assistance of unit members and other partners.
- Provide fiscal oversight for internal noncredit accounts following State of Kansas accounting procedures, including initiation and approval of all financial transactions and reports for assigned accounts, and send financial reports to program sponsors.
- Negotiate contracts for assigned noncredit accounts, following State of Kansas contractual requirements. Contracts may include program agreements, partnership memorandums, presenter and other vendor agreements.
- Collaborate with Global Campus registration staff on the registration process for noncredit courses and programs, providing information such as cost, description, dates and other necessary details required for registration setup and management.
Program Development – 25%
- Manage program development and project management details, collaborating with faculty and other program sponsors on development of goals, objectives, and timelines.
- Work with content experts and administrators to develop curriculum plans.
- Contribute to and monitor tracking databases such as the programs database, noncredit programs database, and the grant-funded programs database.
- Review, assign ratings and provide feedback for online course development grant proposals.
- Monitor approval process for new programs.
- Provide information to marketing unit for promotion of new academic programs, noncredit and microcredentaling opportunities.
- Facilitate discussions with Global Campus market research analyst, faculty and other university stakeholders to collect data and other key information to conduct market research, with the goal of positioning degree and noncredit programs for success.
- Maintain a basic knowledge of marketing analytics/labor market software (e.g., Lightcast), Power BI and other online tools and resources to assist assigned colleges and departments in making data-informed decisions regarding program development and revitalization.
Partnering and Collaboration – 20%
- Serve as Global Campus main point of contact for assigned colleges and departments for academic, noncredit and microcredential programs.
- Collaborate with stakeholders to enhance curricular structure for existing online programs and to discover new areas for programming.
- Maintain a basic knowledge of university learning management systems enrollment/registration systems, and digital credential platform to effectively facilitate meetings with faculty, department heads and unit leaders to promote the development of programming.
- Provide statistical, financial and other reports to colleges and departments
- Work with faculty and program administrators to facilitate the intake process to create and award microcredential badges through the university digital credentialing platform.
- Work with faculty to address course administration issues.
- Promote and facilitate college participation in new online course development grant funding process.
- Partner with Global Campus and university experts to coordinate resolution to issues and requests as they arise.
- Meet regularly with colleges and departments to review programming and discuss needs and continued development.
K-State Global Campus/University Responsibility – 5%
- Serve fully on unit, K-State Global Campus or university goal teams, committees, task forces, etc. as requested.
- Complete other duties as assigned.
Required Qualifications:
- Bachelor’s degree. This position may us an educational equivalency as determined relevant by a hiring manager.
- One year of relevant experience.
Preferred Qualifications:
- Master’s degree
- Three to five years of relevant experience.
- Demonstrated experience in development and management of programs
- Project management experience
- Proven record of organizational and administrative skills including the ability to simultaneously manage multiple projects
- Familiarity with KSIS and K-State Online or similar learning management and student information systems
Knowledge, Skills and Abilities:
- Excellent interpersonal and communication skills both written and oral
- Ability to effectively work and communicate with diverse groups
- Entrepreneurial mindset with an eye toward future trends in educational needs
- Knowledge of the field of distance education including general status and challenges, student services and faculty issues
- Knowledge of K-State program initiation, implementation and approval processes
- Ability to work independently or as a team member
- Computer skills including Microsoft Office Suite programs, use of database systems and electronic communication applications
- Understanding of technology as it relates to online delivery
Other Requirements:
- Applicants must be currently authorized to work in the United States at the time of employment.
- Ability to accommodate occasional overnight travel
- Hold a valid driver’s license in order to meet occasional travel expectations
Appointment conditions: Unclassified, regular, exempt 12-month appointment
Inclement weather designation: Non-essential
Work location: This is a remote position with Global Campus. Employees are expected to maintain a home office or other approved location (in accordance with university policy) from which they would work. Global Campus operates on Central time.
Salary range: 09A $46,555-72,153/year
